How to decline a job offer politely: email templates
Turning down an offer feels awkward, but a prompt, warm decline is a normal part of hiring and recruiters handle them every week. Decide quickly, thank them sincerely, give one short reason, and leave the door open. These templates cover the common reasons.
Before you hit send
Decline as soon as your decision is firm. Sitting on an offer blocks their pipeline and erodes goodwill.
Thank them specifically: for the offer, the process, or a person who impressed you.
One honest sentence of reason is enough. You owe clarity, not a justification.
If compensation is the only blocker and you would otherwise accept, negotiate before you decline.
Close warmly. The hiring manager who liked you is a future referral, reference, or boss.
Accepted another offer
You chose a different company. No need to name it.
SubjectRe: [Job title] offer
Hi [Name],
Thank you so much for the offer to join [Company] as [Job title], and for everything you and the team put into the process.
After a lot of thought, I've decided to accept another offer that is a closer match for where I want to take my career right now. It wasn't an easy decision; the conversations with [interviewer or team] genuinely impressed me.
I hope we get the chance to work together in the future, and I wish the team every success.
Best regards,

Declining over compensation
After negotiating, the package still does not work. Honest and leaves the door open.
SubjectRe: [Job title] offer
Hi [Name],
Thank you again for the offer and for the open conversation about the package. I appreciate you exploring the options on your side.
After careful consideration, I've decided to decline, as the overall compensation doesn't quite work for my situation right now. I want to be straightforward about that rather than give a vague reason, because everything else about the role and team appealed to me.
If the budget for this or a similar role changes down the line, I'd be glad to pick the conversation back up.
Best regards,

Declining, keeping it warm
The fit or timing is off, but you want this company in your future.

Hi [Name],
Thank you for the offer; it means a lot to be chosen, and the process gave me a great impression of [Company].
After much deliberation I've decided not to accept, as the role isn't quite the right step for me at this moment. This is about timing and fit, not about the team, which I'd gladly work with under different circumstances.
I'd love to stay connected, and I hope you'll think of me if a role closer to [the kind of work you want] opens up.
Best regards,

Questions
How quickly do I need to respond to an offer?
Acknowledge it within a day, even if you need more time to decide. Most companies expect a final answer within three to five business days; if you need longer, ask for a specific extension rather than going quiet.
Do I have to say why I am declining?
A short reason is courteous and helps the company, but one sentence is plenty: another offer, compensation, role scope, or personal circumstances. You never need to name the other company or share numbers.
Should I negotiate before declining over salary?
Yes, if a realistic improvement would change your answer. Tell them the number that would work and let them respond. Declining over pay without ever raising it leaves both sides worse off.
Can I decline an offer after verbally accepting it?
Legally, before signing, usually yes; reputationally it is costly, so do it only for a genuinely better path, do it fast, and do it with an apology and a phone call, not just an email.
